# E-Verify Integration E-Verify is an essential part of ensuring workplace compliance, and Onboarded helps streamline this process for you. ## Integration Options There are two ways to set up the integration, depending on how your organization chooses to manage its E-Verify responsibilities: ### Option 1 - External Account Integration This option is for employers who operate their own E-Verify account independently. In this model, your company is fully responsible for managing its own E-Verify credentials and processes. You’ll use your own **Username**, **Password**, and **Endpoint URL** to link E-Verify directly to your Onboarded account. This setup gives you complete ownership and portability of your data, even if you decide to stop using Onboarded in the future. ### Option 2 - Employer Agent Integration This approach uses Onboarded as your designated E-Verify employer agent. Instead of registering independently with E-Verify, you are added as a **client under Onboarded’s E-Verify account**. Onboarded then manages the submission and handling of cases on your behalf. Each client is assigned a unique **Client Company ID**, which is tied specifically to your company within Onboarded’s system. To initiate this setup, you’ll need to complete a short form. Once submitted, you’ll receive a Memorandum of Understanding (MOU) from E-Verify, authorizing Onboarded to process cases for your organization. ## E-Verify Integration Setup To integrate E-Verify with your Onboarded account, navigate to **Settings** > **Account Settings** > **E-Verify Integration**. You’ll have two options for connection: 1. **External Account**: Provide your **Username**, **Password** , and **Endpoint URL**. 2. **Employer Agent**: Enter your **Client Company ID**. Everify_configure_with_external_account.png Everify_configure_with_Employer_agent.png Once the appropriate details are entered and saved, your Onboarded platform is ready to start creating and managing E-Verify cases. ## Onboarding Process After the integration is set up, E-Verify becomes a natural extension of your employee onboarding journey: 1. **Placement and Task Assignment**: When you create a placement, you assign onboarding tasks, including completion of the I-9 form. 2. **Employee Action**: The employee fills out **Section 1** of the I-9. 3. **Employer Review**: You review and complete **Section 2**. 4. **Case Creation**: Once all information is verified, you create a draft case for E-Verify. 5. **Submission**: After reviewing the case details, you submit the case for verification. Submit_case_Everify.png Shortly after submission, you’ll receive a confirmation displaying the case number, initial status, and eligibility result. In many cases, the result is returned within seconds, but occasionally further steps are necessary depending on the outcome. ## Post-Submission Case Results Once submitted, E-Verify returns a status indicating whether the employee is authorized to work or if additional action is needed. The list below outlines what each status means and what actions may be required: **1. Employment Authorized** This is the case reviewed above where the employee’s information matches government records and no further action is required. Everify_employment_authorized.png **2. Unconfirmed Data** The submitted case contains invalid or incomplete data. In case of this result, employers must update and resubmit the case. Everify_unconfirmed_data.png **3. Photo Match** E-Verify compares the photo on the employee’s ID document with a government database. If it doesn’t match, additional steps such as a scan and upload may be required if that option is provided. Everify_photo_match.png **4. Manual Review** DHS is reviewing the case manually, often following a failed photo match or complex data issue. Everify_manual_review.png **5. Scan and Upload** The employer must upload a scanned image of the employee’s ID photo to complete the photo match verification step. Everify_scan_&_upload.png **6. Queued** The case is temporarily in queue before being processed by the E-Verify system. Everify_queued.png **7. Pending Referral** The employee has been referred to either SSA or DHS after a TNC and must decide whether to contest the result. The case status will update based on the employee’s action. If the employee either chose not to contest a TNC or failed to resolve it, the result of Final Non-confirmation will be returned. The case is then closed, and the employee is not authorized to work. Here, you’ll see case statuses, allowing you to track employee verification progress and act promptly if any additional steps are required.
